About the Role & the Team

This role will provide an opportunity for a Parts Coordinator to support the Service Department and involves liaising with customers and suppliers, raising quotes, raising purchase orders, ordering equipment, creating import/export paperwork, liaising with couriers for quotations and to arrange shipment of goods, invoicing, general admin and uplifting service contract sales within the Service Department to ensure the smooth running of the department.

This role is predominately office based in the Middleton office. Hours are 37 per week, Monday to Thursday 08:45-17:00 and Friday 08:45-16:30.

Role Overview

  • Answering incoming calls from customers, using technical knowledge to establish and assess the problem and advise and recommend accordingly
  • Using your customer service skills to handle and resolve any customer queries and provide
  • Creating quotations for customers, liaising with technical departments and colleagues where appropriate
  • Developing your technical knowledge on the company products and parts to be able to utilise when finding a solution or ordering parts by sourcing, reading and absorbing product manuals
  • Ensuring you have all of the correct information to input orders on to the Navision system
  • Ordering parts for internal and external customers, ensuring parts are ordered and delivered within the agreed timescale
  • Follow up on quotes for completion
  • Follow up on estimated time of arrivals, deliveries and PODs with suppliers and communicating with customers to handle expectations
  • Maintain and build good relationships with service providers and clients to keep customer base
  • Respond to email enquiries in a timely manner
  • Complete jobs and update internal trackers to show real time actions
  • Utilising opportunities to promote and upsell company products and services to customers
  • Liaising with couriers for collections, deliveries, POD enquiries, import/export orders
  • Creating export paperwork in line with legislative requirements
  • Managing all 3rd party supplier orders for the service department

About You

Essential:

  • Good working level of ICT skills on applications such as Excel, Word and Outlook
  • Wealth of experience working within a similar role
  • Wealth of administrative and customer service experience
  • Experience in purchasing and purchase orders
  • Use of ERP or similar systems
  • Good at building working relationships
  • Practical approach to work and problem solving

Desirable:

  • Drivers Licence
  • HND or HNC qualification in a relative subject
  • Experience in sales
  • Knowledge of perimeter protection products
  • Use of Microsoft Navision system
  • Experience within the construction or engineering industry
  • Experience in working with logistics both import and export
